Watch appliance parts lookup and return booking

Mark walks through a sample washer job, from drain-pump lookup to the return booking.

You know what failed. Part Wizard helps you find the part and move the whole repair ahead—without typing the same details into every step.

How to find a part and set up the return repair

  1. Type the model and part name.

Try a plain name like “drain pump” or “heating element.” In a job, the model is already there.

  2. Match the part to the appliance model.

Part Wizard finds the part number. Check the match for the machine you are fixing, then choose it.

  3. See the price and delivery time.

View the price, Marcone warehouse choices, and estimated arrival. Pick the option that fits the repair.

  4. Add it to the repair estimate.

Put the part into the return estimate. GuildUSA carries the details forward. Check the charges and finish the job steps.

  5. Let the customer book the return.

The customer gets the estimate and booking link. They approve the work and choose a time based on your hours and the part’s estimated arrival.

  6. The part goes into the cart.

After approval and rebooking, GuildUSA adds the part to the cart. Your admin gets reminders to review it and place the order.

Choose admin review or automatic parts ordering

Most shops want an admin to give the cart a last look. That is the default: automatic cart setup and reminders, with your team placing the order.

Want the order placed automatically too? GuildUSA has full automatic ordering through the API. Enterprise customers can ask us to set it up.

Use parts reminders before the supplier cutoff

Appliance parts and return-booking questions

How do I move from a part quote to a return visit?

Add the part to the return estimate and send it to the customer. They approve the work and book their return time. GuildUSA sets up the return job and adds the part to the cart.

Does GuildUSA order parts automatically?

GuildUSA has full automatic parts ordering through the API, available on request for enterprise customers. The default adds parts to the cart after approval and rebooking, then sends reminders so an admin can review and place the order.

for appliance repair techs using the GuildUSA fully automated systems for their office I'm gonna go over the Part Wizard the Part Wizard is a game changer cause you never have to look up a part diagram or go on any other third party websites and hunt down a part number or anything like that again when you have a model number then you just put in a name of a part like heating element or drain pump and it's gonna look up that part number it's gonna give you the MSRP the manufacturer suggested

retail price and it's gonna give you the estimated time of delivery based on Marcone and then with one tap you can just add it to your cart and another side if you're on a job it'll already have the model number you won't even need that put that in and then with one tap it'll add it to an estimate or add it to a invoice for a return visit on a part install so I'm gonna show you that right now so when you're on the GuildUSA software you're on your profile here there up in here is the

the cart right so there's always a Part Wizard available always whether you're on a job or not here in the cart so you can always just order a part from here as well so you wanna have a model number ready you're gonna put in a model number I'm gonna use a G E stacked unit so we have the G U d I'm look some of them in the system already came up we're gonna use this 27E s s okay now I'm gonna put in here I'm gonna put in drain pump drain pump okay so I just put in the description here if I had a part number

already I can put that in but I don't need it I just just need to have a word there so I'm gonna go find part numbers and it takes like maybe 15 to 30 seconds sometimes when I'm in front of a customer it seems like a really long time you know waiting 15 seconds waiting for that price but we pop up here with the MSRP so you can communicate to the client right there the price verbally of course once you click add on when you're on the estimate builder

it's gonna add it to the estimate and it'll in case they're in in writing for your your legal purposes so we have a 98% match right here it's not 100% because it's a word name now somebody in Tennessee might call this drain pump something else somebody in Germany might call it something else GE might use a different word than whirlpool for drain pump okay so you can see when I select that it it pops up and it gives the warehouses it says this is the nearest one is Denver

it's gonna be to our address in Montana in two days now these are the other warehouses you see I could get it from Vancouver it's in two days as well see all these different options here these are all Marcone warehouses we're gonna keep it on Denver and then when I select add to cart boom it's gonna add it to the cart wants to verify here and it's a little bit of time cause our computers are communicating with and you see up here boom it's added to the cart

so now we'll we'll look at the cart here OK here it is it's added to the cart now I could delete it here OK it gives me the delivery total the part total and the estimated total here and the MSRP is up here 1 66 if I was on an estimate builder it's gonna add 1 66 to that estimate or invoice that's the MSRP right here however in the back end you could you don't have to go with Marcone's MSRP you could tweak in your settings in GuildUSA to have even a higher markup or a lower markup

and now I could just order it right here and then it's gonna order it from Marcone and you will see it on your billing statement from GuildUSA that order and you can always return and everything else now I'm going to go over inside a job and see what the part how the part was it works inside a ticket actually I'm gonna go to my calendar and you can see here's a job here I'm gonna go to this job and we've been over this before if you haven't where's other

videos to explain the job and how the job works but you can see everything here all the assumptions what do we have here we have a GE washer water left in tub related to that drain pump right we're gonna order another drain pump so I'm gonna start this job so I can start tracking mileage and time to finish on the diagnostic I can take pictures here I always go in and take pictures of the model number sticker the before and after pictures but I'm gonna end this I'm gonna assume

that my diagnostic is over and I determined I need a new drain pump so I'm gonna go to end yes end the gig now was this a diagnostic yes cause I'm gonna rebuild I'm gonna build a return part install estimate from here clog failed drain pump that's what I'm gonna select right there failed drain pump so I don't have to write anything down we had those assumptions already determined unless it was something outside the top 90 something percent of what goes wrong in these symptoms

we'd have custom procedure here so I'm just gonna go to next cause I this is my post diagnostic report as a technician right and the Part Wizard comes right up do you need a part right do you need a part now if it was already in my inventory if it wasn't a diagnostic I would be able to add that part if it was already on my truck to the invoice on the diagnostic for it but it would convert it to a full repair now keep in mind that invoice or that estimate for the diagnostic

was already prepared automatically as soon as the call was booked so look the the model number in this case is already pre propagated okay it knows the model number cause I'm on that job just like it knows the model number for tech help if you were asking the AI for help it could read manuals and things for you and just give you answers instead of going through a 30 page manual or in a GE case very short little brief manual um so here I'm at the part number

or description I'm gonna put in drain pump again cause I don't have a part number drain pump so remember this is how the Part Wizard works inside a job it's helping me build a ticket automatically okay so I'm gonna go to the part number here it's gonna look it up and again maybe 15 seconds which seems like an eternity with a customer breathing down your neck sometimes but it's pretty efficient compared to looking anything else up there it is it was only a few seconds

so here's that that match here so here's that part number I'm gonna go yeah use this I'm gonna click use this I went right to GE as a source to find that and it gives me that MSRP right here right away I'm gonna pick Denver here Denver's another selection here so it'll get there in two days to Denver so I'm gonna add this part it's asking me to add this part it means add it to the estimate builder for the return repair then again it verifies it here and says what quantity you want I'm just gonna leave it as one and I'm gonna go to next

okay so this is now this is the diagnostic cause you want the customer to pay how is this customer paying for this diagnostic today right what kind of visit was this yes it was a diagnostic confirm and send so it's gonna send this diagnostic invoice to the customer now the customer in this case is me I'm the customer I'm the dispatcher and the um technician here okay so it's it's I got a verification that it was sent do I want to resent now next so that was sent

as at this point I would collect that invoice from the customer this is similar to like Blue Book pricing it's Guild standard pricing it's very similar so it's standard industry pricing in our office in Florida we use a flat rate we don't use standard pricing but in the Montana for this one we have set up we use standard pricing so I'm gonna click yes so see it built that estimate right here automatically for that pricing it was 2:50 then it subtracts

the diagnostic cause you're collecting that today and then it added the drain pump right to it 1 sixty six and go to next now how did they pay for their invoice on the diagnostic credit card online you collect credit card payments through the app right there cash is cash other might be zel I'm going to check off check right I'm going to make up some bogus check number for this demonstration 45 next okay I confirm these details gives you one more chance to check to to verify

this ticket I confirm these details finish this is finishing your post diagnostic report and in the process it automatically created tickets and it sent a booking form to the client so they can rebook themselves based on your availability the part ETA and what they want right what do they want okay and that's it so that's the Part Wizard okay so we wanna book that we wanna get that part in the cart so I'm gonna make pretend I'm the customer here and you see my automated

messages I got from the GuildUSA app as customer and also as the technician so I'm gonna open that and then you see the message here and it's giving you an option to schedule your return visit so I'm gonna schedule my return visit and it's going to give me time slots here again the repeat of the return estimate I'm gonna pick a time slot boom I picked a time you see I pick a time I'm gonna confirm that time okay right here boom and then I have to agree to terms after that

so I'm gonna agree to the terms and I can review the terms as well so I agree to terms I press agree to terms and now it's going through the scheduling and I just got on my desktop I just got you can see that there a new job was just added so that's telling me as the dispatcher that a new job on this return visit was just added and now as a customer I should have received another email and there it is up on the top there and I can open that up and as a customer

this is confirming your appointment you see that um and it gives a synopsis of what went wrong and then I could always reschedule or cancel from there as well so all these automations happened um I rescheduled and if we look in the the cart we see our part here so two items you see it's two cause we did one in the first dummy and then there's the second one so they're both in there now and again it reiterates our price it gives our total so it's the shipping cost the part total

and the MSRP was added to the ticket right okay so that's that get out and get some people it's a beautiful day automate today never forget to order a part again automate your tickets let customers rebook themselves so there's no confusion there let them agree to terms automate from first call to return install with GuildUSA go to GuildUSA dot com and sign up today for full automations the struggle is real but you don't have to go through it alone anymore guys
